CHANGES & CANCELLATIONS
Please note that artists attendance as well as all schedules including, but not limited to, workshops, seminars, masterclasses, classes, shows, parties and competition are subject to change.
MASTERCLASS / BOOTCAMPS
Masterclass participants must hold a Full Pass.
PASSES / TRANSFERS
IMPORTANT: Early bird passes, discounted passes and special deals can NOT be transferred.
Passes can be transferred to another holder. Transfer request must be done via email up to 4 weeks prior to the event. An admin fee of $50 is payable at the time of transfer.

REFUNDS
If the event is cancelled
Every attendee will be entitled to either: (1) transfer their pass to the following years SSMC event or (2) a refund of the amount paid upon request. Transfer & refund requests must be done via email within 30 days after the last day of the scheduled event the pass relates to. Requests submitted after this date will not be considered. An admin fee of $50 is payable at the time of transfer or refund.
If you cannot attend (due to Covid)
The SSMC is acting in good faith and will transfer passes when a transfer request is submitted based on any matters related to Covid-19. Your full pass will be transferred to the following years SSMC event. An admin fee of $50 is payable at the time of transfer. If you bought your pass through your dance school, your dance school will be the one to issue the refund on behalf of SSMC. Transfer requests must be done via email within 30 days after the last day of the scheduled event the pass relates to. Requests submitted after this date will not be considered.
WRISTBANDS
- Wristbands must be worn securely on your wrist at all times during the event. Anyone without a wristband may be asked to leave the event.
- Wristband replacement: If you require a new wristband, you must present your broken wristband in order to get it replaced. Replacement fee is $30 to be paid at the time of replacement.
- SSMC will NOT replace lost wristbands; you will be asked to buy a new pass should you wish to attend the event.
- Wristbands are NOT-TRANSFERABLE and NON-EXCHANGEABLE at the event.
- Do NOT remove, stretch or tamper with your wristband in any way or you will not be allowed entry.
- If your wristband is removed by event security or staff for any reason, it WILL NOT be replaced.
- All ticket holders must pass through security and are subject to bag inspection. Prohibited items will be confiscated by event security or staff.
THERE ARE ABSOLUTELY NO EXCEPTIONS TO THIS WRISTBAND POLICY.
ALLOWING US TO USE YOUR IMAGE
We sometimes film and/or photograph workshops, classes, rehearsals, shows parties and other activities during the event. It is possible that you will appear in these materials. By attending the event, you allow us the unrestricted right and permission to use your image in printed or digital promotional materials including, but not limited to: websites, social media, flyers, banners and videos.
EXHIBITORS
A single booth includes:
• One Full Pass that can only be used by the booth hirer and is not transferable
• One Exhibitor Pass that can be given to anyone nominated by the booth hirer. Please note that the exhibitor pass does not allow the nominated pass holder to compete and/or perform.
ACCOMMODATION – MERITON SUITES ZETLAND
Sydney Salsa Mambo Convention (“SSMC”) has partnered with Meriton Suites Zetland to provide convenient, high-quality accommodation options for event attendees, located just minutes from the venue.
1. Accommodation Provider
Accommodation is provided and operated by Meriton Suites Zetland. SSMC facilitates the booking and allocates rooms from a contracted event allocation.
By purchasing accommodation through SSMC, the customer acknowledges and agrees that their stay is subject to the Terms and Conditions, policies, and house rules of
Meriton Suites, available at: https://www.meritonsuites.com.au/terms-and-conditions/ as updated from time to time. Guests are responsible for reviewing and complying with those terms.
2. Payment & Security Deposits
Accommodation payments are made directly to SSMC at the time of booking.
Security deposits, credit card bonds, or incidental authorisations (if required) are payable directly to Meriton Suites upon check-in and are subject to Meriton
Suites’ policies. The amount and conditions of any bond are determined solely by Meriton Suites.
3. Guest Name Requirements
SSMC is required to provide a final confirmed guest list to Meriton Suites 30 days prior to the event start date.
All guest names must therefore be finalised no later than 30 days prior to the event start date.
Each accommodation booking includes one complimentary guest name change per room prior to the 30-day guest list submission deadline.
Any additional name changes requested after the first change will incur an administration fee of $50 per change, per room. This fee reflects the administrative work required to update room allocations and the final guest list provided to the accommodation provider.
All guest names must be finalised no later than 30 days prior to the event start date, in accordance with the requirements of Meriton Suites. Name changes requested after this deadline cannot be guaranteed and are subject to approval by Meriton Suites.
4. Cancellations & Refund Policy
As SSMC commits to confirmed room allocations in advance, the following cancellation terms apply:
- Cancellations made more than 60 days prior to the event start date are eligible for a full refund less 10% of the total accommodation booking amount.
- Cancellations made between 30 and 60 days prior to the event start date are eligible for a 75% refund of the total accommodation booking amount.
- Cancellations made less than 30 days prior to the event start date are non-refundable.
The retained portion reflects the non-refundable deposit paid to secure the room allocation and associated administrative costs.
Refunds, where applicable, will be processed to the original payment method within a reasonable timeframe.
5. Transfers
Accommodation bookings may be transferred to another guest up to 30 days prior to the event start date, provided written notice is received by SSMC and the
replacement guest agrees to these Terms and Conditions.
After the 30-day deadline, name changes or transfers cannot be guaranteed and are subject to approval by Meriton Suites.
6. Responsibility for Conduct & Damage
Guests are solely responsible for their conduct during their stay and for any damage, loss, or additional charges incurred at the property, including but not limited
to:
- Damage to rooms or common areas
- Additional cleaning fees
- Additional guest charges
- Incidentals or other property-imposed fees
Any such charges are payable directly to Meriton Suites and are not the responsibility of SSMC.
7. Limitation of Liability
SSMC is not responsible for the operation of the accommodation, service standards, changes to property policies, or any loss, damage, injury, inconvenience, or additional charges arising from the guest’s stay at Meriton Suite.
